As requested or delegated, keep up-to-date on critical/strategic initiatives and determine which issues require immediate attention, such as global and regional initiatives requiring the Director’s personal involvement and those concerning the implementation of the 2030 Agenda for Sustainable Development.
Provide support to the Director by quickly preparing substantive materials, including background/briefing papers, speeches, and talking points as needed. Attend meetings as needed, provide updates, and see through on follow-ups. Draft official correspondence for the Director’s signature.
Prepare idea notes, invitations, speaking guidelines, news articles, logistics, etc. for events that the Director is leading or participating in. Communicate and coordinate with other parties involved in such activities.
Ensure that the Director’s meetings with the Programme Staff run smoothly by coordinating the agenda, arranging and following up on meetings, producing meeting notes, and keeping everyone up to date on the status of action items, decisions, recommendations, and deadlines.
To improve office operations, you should implement strategic program planning and management methods, and in particular, you should coordinate the update of the Office Strategic Plan and any applicable UNESCO Country Strategies (UCS).
Take the helm in creating briefings for high-level missions to your office and coordinating the involvement of your programme colleagues.
Help the Director maintain information by uploading relevant files to the company’s internal knowledge management system.

Job Duties and Overview:
- Maintain the Director’s awareness of what the UN Cluster Teams and UN inter-agency working groups are up to in the countries comprising each cluster. Attend UNCT meetings with the Director or on their behalf.
- Manage UNESCO’s involvement in and contributions to UN inter-agency working groups on specific themes and programs in country clusters.
- Coordinate programme staff inputs and follow up with RC offices to oversee
- UNESCO’s contributions to UN country strategic planning and monitoring, including CCA/UNCCSF/UNDAF processes in Kuwait, KSA, Bahrain, UAE, and Yemen;
- Help get inputs ready for UNCT meetings and make sure decisions are recorded and followed up on in a timely manner using an internal knowledge management platform.
- Collaborate on office-related concerns, including as ad hoc and annual reporting, with the RCO office and other members of the UN Country Team and implementing partners.
Eligibility Criteria/About the Candidate
- Coordinate the contributions of all five departments, revise the text, and prepare the annual office report for release as the report’s lead developer.
- Manage the flow of information both inside the office and with national, regional
- UNESCO headquarters colleagues, as well as with UNESCO’s permanent delegations and other UN organizations.
